JOB SUMMARY

The Records Specialist maintains the electronic record for each child receiving Rainbows' services.

ESSENTIAL JOB FUNCTIONS (RESPONSIBILITIES):

  • Inputs initial contact information into local and state databases.
  • Enters data for new referrals and makes accurate changes in state database systems.
  • Enters new clients into the state database with all appropriate data.
  • Exits clients from all the appropriate local and state databases.
  • Enters Individualized Family Service Plans, including the annual plans and reviews, into the state system.
  • Requests physician orders for appropriate departments; copies items needed for physician order requests; scans received physician's prescriptions and enters them into myEvolv (the electronic record system) and sends to Greenbush (the billing agency).
  • Some travel may be required to obtain physician orders.
  • Ensures the state database is correct and up-to-date at all data collection points as assigned by the state.
  • Adds insurance information into myEvolv.
  • Runs held claims report from state database/systems to determine if there is missing information and supplies the information identified.
  • Processes disability determination requests.
  • Processes any other records requests.
  • Breaks down any physical files left when a client exits and files in appropriate cabinet.
  • Attends required department/team meetings.Other duties as assigned.
QUALIFICATIONS:
  • High School Diploma or equivalent required.
  • Previous clerical experience of 1-2 years preferred.
  • Medical record background preferred, but not required.

  • Excellent written and verbal communication.
  • Excellent people skills.
  • Ability to perform work tasks within the physical demand requirements as outlined below.


FLSA CLASSIFICATION: Non-Exempt

WORK PACE: Self-paced, requiring the ability to think and act quickly and efficiently in a fast-paced, demanding work environment.

WORK ENVIRONMENT: This position operates in a professional office environment, utilizing standard office equipment.

PHYSICAL DEMANDS:

May require frequent extended work days. Requires some travel between RUI sites, other community agencies and throughout the state.

Sitting: 6 - 7 hours in an 8-hour work shift; may occasionally alternate to standing or walking.

Standing: 1 - 2 hours in an 8-hour work shift. Alternates to sitting on a frequent basis

Walking: 1/2 - 1 hour in an 8-hour work shift.

FREQUENCY: Never = 0% Rarely = 1 - 10% Occasionally = 11 - 33% Frequently = 34 - 66% Continuously = 67 + %
