About the Role: We are seeking a proactive Admin/Operations Assistant to provide both administrative and operational support within our fast-paced digital marketing agency. This role involves handling day-to-day administrative tasks, assisting with small/bigger projects, and supporting larger client-related initiatives, including coordination with external vendors. The ideal candidate has prior experience in a similar role within a digital marketing agency, is highly organized, and thrives in a dynamic, fast-moving environment.

Key Responsibilities:

  • Manage general administrative tasks, including scheduling, correspondence, and documentation.
  • Assist with small internal projects and support larger client-related projects.
  • Maintain organized records and documentation to ensure team efficiency.
  • Track project timelines, milestones, and priorities to keep projects on schedule.
  • Coordinate with internal teams and external vendors for smooth project execution.
  • Prepare presentations, reports, and supporting documents as needed.
  • Act as a point of contact between the agency, clients, and external vendors.
  • Draft, review, and manage client-facing documents and correspondence.
  • Ensure timely, professional, and accurate communication with stakeholders.
  • Utilize project management and collaboration tools (e.g., Notion, Google Workspace, Trello/Asana) to monitor tasks and deadlines.
  • Identify opportunities for process improvements and assist with workflow optimization.
  • Support preparation for meetings, events, and client calls, including research and logistics.

Requirements:

  • Proven experience in administrative or operational support within a digital marketing agency.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills in English.
  • Proficiency with modern productivity and collaboration tools (Google Workspace, Notion, project management software; HubSpot experience is a plus).
  • Ability to work independently, exercise sound judgment, and solve problems proactively.
  • Detail-oriented, flexible, and adaptable to shifting priorities.
  • High level of discretion when handling confidential information.

Preferred Qualifications:

  • Experience supporting client projects and coordinating with vendors.
  • Familiarity with agency workflows, marketing operations, and campaign management.
  • Experience preparing reports, presentations, and operational documentation.
